Variations to Candidature

Important information for international students on applying for Leave of Absence is available here.

NB: All applications to study overseas/away must be accompanied by a completed Guideline Form For Off Campus Travel And Work Policy which downloads with the Application To Study Overseas/Away form. This form should be completed in conjunction with your supervisor who must authorize the form.
If a potential hazardous or unique risk is identified either while traveling or in the activities you will be engaged in whilst away then you must also complete and submit a 2 Variable Risk Assessment form or 3 Variable Risk Assessment form. These risk assessment forms should also be completed in conjunction with your supervisor who must authorize either of these forms.
Applications to study overseas/away will NOT be processed at SGR unless the relevant risk assessment forms are completed and attached.
Please note the University policy (PDF, 721KB) and procedures (MS Word, 41KB) relating to travel to high risk destinations.

NB: Candidates who have withdrawn from candidature, who wish to enrol in a Research Higher Degree course at a later date, will need to submit the relevant application form again. If less than three years have elapsed since the previous enrolment, candidates will have the period of any prior enrolment deducted from the maximum period allowed for the course under the RTS. This restriction applies even if candidates choose to enrol at a different institution.

Confirmation, Progress & Completion Reports

Confirmation of Candidature (PhD Only)

Confirmation report forms are sent directly to PhD students four months prior to the confirmation due date. PhD candidates may check the PhD handbook for more information regarding confirmation reports, by clicking here.

MPhil 6 Month Review

MPhil candidates are required to submit six monthly progress reports. Completion of progress reports is required for the continuation of enrolment and any scholarship held. The first six month progress report will serve as the confirmation hurdle for the MPhil in which candidates will also be required to give a 15 minute presentation of their work.

Progress Report

Progress report forms are sent directly to PhD, Master of Philosophy and Masters of Science by research students approximately two months prior to the due date.

All PhD candidates (including part-time candidates) are required to submit a progress report to the School of Graduate Research each year prior to their expected completion date. Part-time candidates also submit a progress report in their first year prior to confirmation.
PhD candidates may check the PhD Handbook for more information regarding progress reports, by clicking here.

Completion Report (PhD Only)

The Completion Report is the means by which PhD candidates formalise their arrangements with the University once their expected completion date has passed. It offers three options. With the support of their department, PhD candidates can:

  1. indicate that they will be submitting their thesis by the due date;
  2. apply for a (further) extension to their candidature; or
  3. apply to lapse their candidature in good standing.

The Completion Report will be sent to all PhD candidates approximately two months prior to their expected completion date.

Notice of intention to submit thesis: 80-word summary

Three months prior to the submission date of the thesis, the candidate is required to submit an 80-word summary of the thesis argument to the School of Graduate Research. Candidates are required to discuss the time-frame for thesis submission with their supervisor prior to submitting an 80-word summary. The 80-word summary should be submitted via the on-line form.

In addition to the 80-word summary, the following information is required:

The summary activates the process of nominating potential examiners for the thesis.

Candidates are not informed of the names of persons nominated as possible examiners, but are permitted to name individuals whom they do not wish appointed as examiners. Candidates who wish to name individuals whom they do not wish to act as their examiners should provide a written statement to the head of department at the time of submission of their 80-word summary.

NB: If more than 3 months lapses between submission of the 80-word summary and the thesis for examination, it is recommended that the candidate notify the SGR two weeks before the thesis is to be submitted to avoid delays with the examination. SGR Examinations Office can be notified by e-mail at: msgr-exams@unimelb.edu.au.
